Getting started with AI Notes

How AI Notes works
From recording the appointment to a checked note in your patient record, plus letters and care plans.
Check your microphone
Do this once, before your first patient, so you know AI Notes can hear you.
- Open AI Notes and choose Run microphone check.
- Speak normally and watch the meter move.
- If no words appear later, the video shows what to try.

Make your first note
Talk to your patient as normal. AI Notes writes a draft; you check it, approve it and paste it into your practice software.
- Choose Start Transcribing and talk through the appointment.
- Pick a template, then Generate Notes.
- Read the draft and change anything you need. It is always yours to check.
- Tick the approval box, choose Copy note and paste it into the patient record.

Use your own template
Start with one of ours, or bring the template you already use, exactly as it is.
- In My Templates, paste your template or upload it as a Word or PDF file.
- Or describe what you want and let AI create it.
- Star your favourites so they sit at the top.

Treatment notes in a few taps
For a filling or an extraction there is often nothing to record. Tap what you did and AI drafts the full note for you to check.
- Open Quick Treatment Notes from the AI Notes tools.
- Choose the treatment, then the tooth, surfaces and materials.
- Check the draft and copy it, like any other note.

Make it write your way
Too brief, or not how you write? Tell AI Notes once and save it, so every note comes out your way.

Letters from the same appointment
After the note, Step 5 writes patient letters, referrals and consent forms from the same consultation. They work as they are; make them look and sound like you when you are ready.
- Make a note first, then choose a letter in Step 5.
- Email it to the patient, or copy it into your practice software.

Turn a treatment plan into a page your patient can open at home, with the options, costs and a way to reply.
- Make it in Step 5 after the note, check it, then share the link.
- You are told when the patient replies.

Use it every day for a week
Use AI Notes for your appointments on 5 different days. The more you use it, the more you shape it to the way you work.
Telling your patients
Being open is what matters. A short explanation is usually enough; follow your practice guidance.
- No audio is kept: it is sent for transcription and discarded.
- If a patient would rather you did not, stop recording and dictate or type a summary after they leave.
